The Executive Assistant to the Chief Financial Officer provides high-level administrative, operational, and strategic support to the CFO of a publicly traded company. This role requires a highly polished, detail-oriented, and proactive executive support professional with extensive experience managing confidential information, coordinating complex executive priorities, supporting Board of Directors activities, and partnering across Finance, Investor Relations, Corporate Governance, Legal, HR, and other corporate functions.

 

The ideal candidate brings 10+ years of executive assistant experience, including direct support of public company CFOs and exposure to Board of Directors and Committee operations. This individual must exercise sound judgment, maintain discretion, anticipate executive needs, and ensure the efficient execution of CFO office initiatives in a fast-paced, high-pressure environment.

Responsibilities

You will…

 

CFO Office Management

  • Manage all aspects of the Office of the CFO, including calendar coordination, project tracking, internal and external communications, records management, and execution of CFO directives
  • Serve as a trusted gatekeeper and strategic partner to the CFO, prioritizing executive time, communications, meetings, and deliverables in alignment with business objectives
  • Oversee day-to-day itinerary planning, meeting preparation, travel coordination, expense reporting, and follow-up activities to ensure timely completion of CFO initiatives
  • Coordinate across Finance leadership and corporate functions to track key priorities, deadlines, KPIs, and deliverables

Board of Directors and Corporate Governance Support

  • Support the preparation, review, coordination, and delivery of quarterly Board of Directors and Committee materials across multiple corporate functions
  • Coordinate end-to-end Board and Committee meeting logistics, including annual calendar planning, agenda coordination, materials review timelines, meeting scheduling, governance content maintenance, and website or portal updates
  • Serve as a liaison for Board-related communications, including annual scheduling, director onboarding, meeting logistics, event coordination, stock trading notifications, and post-earnings analyst summary distribution
  • Partner with Corporate Governance on annual Director and Officer questionnaires, insider trading policy administration, blackout list maintenance, internal governance records, and Board portal management
  • Manage budgets and administrative processes related to the Office of the Board of Directors and Corporate Governance

Executive Communications and Presentations

  • Develop and coordinate executive-level presentations for the CFO, including internal Finance communications, corporate roadshows, town halls, Board presentations, investor-related materials, and strategic updates
  • Prepare CFO materials for conferences, external events, internal meetings, earnings-related activities, and quarterly Board meetings in partnership with Finance, Investor Relations, and other stakeholders
  • Draft, edit, proofread, and organize sensitive executive correspondence, briefing documents, presentations, agendas, and meeting materials

Investor Relations, Events, and External Stakeholder Coordination

  • Partner with Investor Relations, Brand, Finance, and external stakeholders to coordinate investor events, non-deal roadshows, field visits, corporate tours, annual Investor Day events, and NYSE-related activities
  • Manage attendee communications, venue logistics, transportation, vendor relationships, and executive itineraries for high-profile corporate events
  • Maintain strong working relationships with internal leaders, Board members, external advisors, vendors, investors, and other key contacts

Cross-Functional Partnership and Confidential Administration

  • Handle confidential and sensitive information with the highest degree of professionalism, discretion, and judgment
  • Support executive-level project management by driving timelines, coordinating stakeholders, monitoring deliverables, and ensuring alignment with corporate priorities
  • Maintain accurate records, documentation, and administrative systems to support compliance, governance, and operational excellence

Qualifications

The Experience You Will Bring (Minimum Requirements):

  • 10+ years of senior executive assistant experience supporting C-suite executives, preferably including CFOs, CEOs, Board members, or senior financial executives
  • Direct experience supporting a CFO in a publicly traded company environment
  • Demonstrated experience supporting Board of Directors and Board Committee processes, including materials preparation, meeting logistics, director communications, and governance-related workflows
  • Strong knowledge of public company expectations, including confidentiality, insider trading windows, investor relations cadence, earnings timelines, and executive communication standards
  • Exceptional written and verbal communication skills with the ability to interact professionally with Board members, senior executives, investors, external advisors, and employees at all levels
  • Advanced calendar management, travel planning, meeting coordination, presentation preparation, and project management skills
  • Proven ability to manage competing priorities, anticipate needs, solve problems independently, and deliver high-quality work under tight deadlines
  • High degree of professionalism, discretion, poise, organization, and attention to detail

What Will Put You Ahead (Preferred Experience, Knowledge, Skills and Abilities):

  • Experience with Board portal platforms, including Diligent or similar governance tools
  • Experience coordinating Investor Day events, earnings-related materials, analyst summaries, roadshows, corporate tours, or NYSE-related events
  • Prior experience in global, publicly traded, financial services, asset management, manufacturing, packaging, or corporate services environments
  • Familiarity with executive compensation cycles, leadership goal setting, merit processes, and performance review administration
  • Experience managing budgets for executive offices, Board operations, or governance functions
